Workflows

From product to sale

Find a product, add it to a sale, and follow an open balance.

Starting route: /inventory/products

Required access: Product viewing and sale creation must be available to your role.

  1. On Inventory → Products, search by product name, SKU, or barcode. Use In stock only when needed.
  2. Open the product and review its price and stock on /inventory/products/[fp]. If suitable stock is unavailable, review adding stock from an invoice. If a Stock Shortages warning is present, also see review a stock shortage.
  3. Open /sales through Sales → Records and select New sale. Choose the customer or patient context.
  4. Find the product using the search in the sale window. In Select Sale Item, review the displayed stock state, sale unit, and price. If a stock source choice is offered, select the appropriate batch or opened package. Service items do not use a stock source.
  5. Review the quantity, unit, available stock source, and amount in the cart. Complete the sale using the available save or payment action; reopen the record from /sales.
  6. To follow an unpaid customer amount, open Outstanding Balances on /sales/collections. For a later payment, use collect an open balance.

The product catalog search and the sale item search are separate controls; opening a catalog product does not add it to a sale. See find a product and record a sale for the individual tasks.

Example and checks

To sell two base units from a pack containing ten, select the supported base unit rather than two packs. Do not invent a conversion if the product does not support it. Opened-pack remaining amount and closed-pack count are separate values.

After the sale, verify stock movement and customer debt separately. A service item does not itself prove physical product use; administration and materials follow their own flow. See products/stock and stock and money.
