Review and reconcile a stock shortage

Find a shortage from the inventory overview and review the available resolution.

Starting route: /inventory/overview

Required access: Shortage viewing and reconciliation depend on your role.

  1. On Inventory Overview, select an open shortage, negative stock, or unresolved cost card. This opens Stock Shortages.
  2. Search for the product and, if needed, filter by quantity basis, cost status, or Open shortages only. Select a product to open Stock Shortage Detail.
  3. Review physical stock, outstanding consumption, related records, and earlier reconciliations. Use View product to inspect the product stock tab if needed.
  4. If the action is available for an open amount, select Reconcile. Choose Historical opening stock, Current physical count, or Write off the shortage according to the actual situation.
  5. Review the requested date, quantity, stock target or cost fields, and reason. Check the amount to resolve before selecting Reconcile; then review the remaining open amount and reconciliation history in the detail window.

The appropriate reconciliation choice depends on the actual stock count and supporting record. If a supplier invoice is needed to add stock, see add stock from an invoice. This guide does not decide which stock adjustment is appropriate for your clinic.

Example and choice

A missing historical opening balance and today's physical count are different evidence. Choose the matching reconciliation mode; do not present an unknown estimate as a real count. Writing off a shortage does not physically add goods.

Review resolved/remaining amounts, source stock, cost and history. Refresh preview if another user changed state. See stock concepts for package/base-unit distinctions.
