Add stock from an invoice

Review a supplier invoice file before adding its items to product stock.

Platform · Last verified:

Starting route: /inventory/products/import

Required access: Stock import must be available to your role.

  1. On Inventory → Products, use More actions → Import to open Import History. On /inventory/products/import, New Import opens Add Stock with Invoice.
  2. Use Upload File to choose an image or PDF of the supplier invoice. Wait for the document to be read; if that fails, use the retry or choose another file action shown on screen.
  3. Check that each extracted line matches the correct product. Select an existing product or complete the details for a new one when needed.
  4. Compare quantity, purchase cost, stock location, and any lot or expiry date with the document. Review the supplier and invoice total as well.
  5. Fix lines that need review. Check the final summary, then confirm the add items to stock action. Once complete, View stock takes you to /inventory/products.
  6. To revisit the import, use its entry in Import History and Import Preview. Resume it from the list if a resumable draft is available.

This is a supplier invoice used to add stock. For a customer sales invoice or a payment, see Sales and customer accounts. To use the product in a sale, follow from product to sale.

Verify OCR output

Recognition is a suggestion. Compare decimal separators, package counts, base units, free items and discounted cost with the document. Similar names with different strengths can mismatch. Expiry is not the invoice date.

Check each item result and draft completion. After interruption, inspect import history for already-added items instead of starting a duplicate stock import. Verify batch/location and movements on the product. See stock.
