Collect an open balance

Record a payment against a customer's outstanding sale amount.

Starting route: /sales/collections

Required access: Customer account viewing and collection creation must be available to your role.

  1. Open Outstanding Balances on Sales → Customer Accounts. Review the customer and their unpaid sale amounts.
  2. If the New menu is shown, select Collect Payment. If a direct action is shown, select New Collection. In the collection window, choose the customer.
  3. Select the open sales or debts to cover, then enter the received amount and payment method. Review any customer credit, discount, receipt, or extra information separately.
  4. Under Collection allocation and Collection summary, check which amounts will be applied to which open records and what will remain. If the preview is out of date, follow the correction or refresh action shown on screen.
  5. Select Save collection. Open the record from Collection records or Activity to review the applied sales and remaining open balance.

To create a sale, use /sales and record a sale. A collection is a separate action for an existing outstanding amount.

Interpret amounts correctly

Separate newly received money from an existing customer advance. Allocations across debts must agree with the received/used sources. For a 500 TRY debt and a new 300 TRY payment, 200 TRY remains if no other discount or credit applies.

A debt-reducing discount is not newly received cash. Match currency and method to the actual payment. Open the sale's remaining debt and customer movement after completion. Refresh allocation if another user collected during preview.

Common issues

Check customer and view filters if no debt appears. If disconnected after a successful collection, inspect movements before creating another. See stock and money.
