Clinic management

Import data from CSV

Map and validate customers, patients, appointments, vaccines and opening debts.

Platform · Last verified:

Import carries initial records from a previous system. You need Data import (/import) access and an eligible setup step. VetConnect opens this task in web Platform. Work with a copy first; similar column names do not prove a correct mapping.

Prepare the files

TypeRequired fieldsUseful optional information
CustomerName, phoneEmail, address, protocol number, note
PatientPatient name, owner referenceSpecies, breed, sex, birth date, weight, status
AppointmentPatient reference, owner reference, start dateType, veterinarian, notes, status
VaccinePatient reference, owner reference, vaccine/package name, dateStatus, notes
Opening debtCustomer reference, amountOptional patient reference

Download empty customer, patient, appointment, vaccine and debt templates. They contain headers only. Add your data and map it in the wizard; no real people or presumed valid telephone numbers are included.

This wizard resolves owner references through customer names and patient references through the patient name for that owner. Keep spelling consistent across files. Inspect different customers with identical names before importing. Do not assume protocol numbers act as automatic relationship keys.

The synthetic customer and patient example show Example Owner A → Luna. Use them only in an assigned example environment, not your clinic data. The phone is in NANPA's reserved non-working fictional range and cannot verify SMS. The date is an ISO day and weight is a 4.2 kg example. Complete any additional taxonomy mapping for your own records.

Connected synthetic examples

Combine the customer and patient files with the appointment, vaccine plan and opening debt examples. All five use the same Example Owner A → Luna relationship. Use them only in your assigned test environment.

The appointment has an explicit time-zone offset: move its date to a future test day and check the displayed clinic time. Example Vaccine A is fictional: explicitly map it to an appropriate test catalog vaccine and check the date. Select a veterinarian if required by the wizard; verify the example statuses in the offered value mappings. The debt adds a 500.00 opening balance to the customer. Its patient reference is optional and it creates neither a sale nor a payment.

After import, open the customer-patient relationship, appointment time, scheduled vaccine and customer balance separately. Reimporting the example is not a correction method. Correct the source row before import or use the offered exclusion action.

Complete the wizard

  1. Select data types and upload their CSV files.
  2. Map source columns to target fields. Preserve telephone country codes and leading zeros instead of converting phones to numbers.
  3. Complete requested value mappings for taxonomy, sex, patient status, appointment type or vaccine catalog values. Do not choose an arbitrary replacement for an unknown value.
  4. Check date and number previews. Birth and death dates differ; past vaccine administration and future scheduling have different meanings.
  5. Correct file, row and field errors or warnings in Validation. “Owner not found” often indicates inconsistent spelling or reference mapping.
  6. Start Import and wait for results and skipped-row reasons.

Verify results and retries

Compare imported, skipped and failed totals with the files. Open a sample customer-patient relationship, appointment time, vaccine status and opening debt in their lists. Duplicate patient names under the same owner may indicate repeated input; do not simply create another patient.

Starting a new session may replace earlier draft preparation. If disconnected during import, check progress and results first. Uploading everything again is not a safe undo. Discuss the scope of any rollback or bulk correction with support. See import and payment troubleshooting.
