Customer debt, advances and account adjustments

Read independent debt and available credit separately from sales.

Platform · Last verified:

Start in Customer Accounts → Open Balances or a customer account card. Debt, available credit and net difference are distinct; credit does not automatically settle debt.

Independent debt

  1. In New debt, choose customer and optional patient linkage.
  2. Choose manual new debt or historical opening debt.
  3. Complete actual amount, date and reason.
  4. Compare existing debt/new amount in preview, then save.
  5. Open independent debt/movement. This creates no product/service, tax line or payment.

Sale debt belongs to a separate sale. Do not fabricate a sale to record independent principal.

Advances and credit

Previously received money can be tracked as credit. Explicitly choose creation/use in collection. Example: debt 500 plus credit 100 does not mean debt automatically became 400; record credit use.

For an offered adjustment, choose the actual source such as opening credit/goodwill/reduction, amount and reason. Reducing credit is not physically refunding money; inspect balance/access conditions.

History and scope

Filter debt, credit, settlement and adjustment rows by type/date/customer. Open the source sale, independent debt or settlement. Use an eligible reversal/correction rather than editing away history. Sale-view access may not permit complete account history.

Walk-in sales are a separate group; do not assign another customer's account to collect them. Pay through the actual sale. An unreadable summary is not zero debt; inspect filters/access and current result.
